Privacy Policy

Effective Date: 04.09.2026
Last Updated:  04.09.2026

1. Purpose and Scope

Caelmontaris is a Hong Kong-based private aviation business that owns and operates the aircraft used for its selected passenger itineraries. This Privacy Policy explains how Caelmontaris handles personal data when you use the website, request a seat hold, visit the office, complete payment, travel on a Caelmontaris-operated flight, cancel, request a refund, or contact us. This Policy provides notice of those practices and does not replace any consent required by law.

2. Personal Data We Collect

We may collect your name, contact details, nationality, date of birth, itinerary, passenger preferences, identification details, travel documents, reservation records, correspondence, and information needed for regulatory procedures. Our website may record device, browser, IP address, access time, and interaction data for administration and security.

An online request creates a 48-hour seat hold but does not complete payment. Full payment occurs in person at our Hong Kong office using an accepted office method. We may retain transaction references and receipts, but payment data is handled according to the method used. For an eligible refund, we collect the account details reasonably required to initiate transfer.

Information marked as required is necessary to administer a seat request, booking, journey, cancellation, or refund. If required information is not supplied, Caelmontaris may be unable to accept the request, complete the booking, process travel arrangements, or issue a refund. Optional information will be identified when collected. Copies of identification documents are retained only when reasonably necessary for an itinerary, security requirement, legal duty, or dispute.

3. How We Collect Data

We obtain personal data through website forms, email, telephone, office visits, travel identification, and cancellation or refund requests. We may also receive relevant data from our flight crew and operations team, airport personnel, ground handlers, payment providers, authorities, or a person arranging travel for you.

Personal data submitted through the website must be transmitted through encrypted HTTPS pages. Website forms must not place names, email addresses, identification information, or account details in page addresses or tracking parameters. Refund account information must be supplied through a protected form, protected portal, or in person, rather than through ordinary email.

4. Purposes of Use

Caelmontaris uses personal data to administer seat holds; complete reservations and office payments; issue receipts; provide boarding instructions; check identity and travel eligibility; operate flights; coordinate airports and ground services; communicate operational changes; apply cancellation and no-show rules; process refunds; respond to inquiries; prevent fraud; maintain records; protect passengers, crew, personnel, aircraft, and systems; resolve disputes; and satisfy legal, aviation, immigration, security, accounting, and regulatory duties.

We collect and use data only for stated or directly related purposes unless law permits or requires another use.

5. Disclosure of Personal Data

We may disclose necessary data to airports, ground handlers, maintenance and aviation service providers, security personnel, immigration or customs bodies, law-enforcement agencies, banks, payment providers, refund processors, technology vendors, advisers, insurers, and regulators. Recipients receive data reasonably needed for their role, subject to appropriate contractual or legal duties.

Caelmontaris does not sell passenger personal data. We may disclose information when required by law, court order, regulatory request, or reasonably necessary to protect legal rights, safety, or operations.

Where an external processor handles data for Caelmontaris, contractual or other measures will require appropriate retention, access, confidentiality, and security controls. If advertising or website measurement providers receive device or interaction information, those recipient categories and purposes will be disclosed at the point of collection.

6. Retention and Security

We retain personal data only as long as necessary for reservations, travel, refunds, disputes, accounting, regulatory compliance, or stated purposes. Periods may differ by record type and legal requirement. When data is no longer required, we take reasonable steps to erase it or remove identifying elements.

Caelmontaris applies reasonable administrative, physical, and digital safeguards against unauthorized access, loss, alteration, disclosure, or misuse. No transmission or storage system can eliminate every risk.

7. Overseas Transfers

A Caelmontaris-operated itinerary may require personal data to be transferred outside Hong Kong to an airport, ground handler, maintenance or aviation service provider, immigration body, security authority, or other service provider. Transfers are limited to information reasonably required for the journey or a related legal duty. Caelmontaris uses contractual or other safeguards where appropriate and remains responsible for taking practicable steps concerning processors acting on its behalf.

8. Your Rights and Direct Marketing

Subject to the Personal Data (Privacy) Ordinance, passengers may request access to or correction of personal data held by Caelmontaris. Requests should identify the passenger and relevant booking and be addressed to the Privacy Contact at jetliner@caelmontaris.com or Connaught Commercial Building, 185 Wan Chai Rd, Wan Chai, Hong Kong Island, Hong Kong. Caelmontaris may request sufficient identity information, charge a fee permitted by law, and respond within the legally applicable period.

Caelmontaris will not use personal data for direct marketing without the notice and consent required by law. You may withdraw consent at any time without charge by contacting us.

9. Legal Framework

This Policy is governed by Hong Kong law, including the Personal Data (Privacy) Ordinance (Cap. 486) and its Data Protection Principles, the Electronic Transactions Ordinance (Cap. 553), the Civil Aviation Ordinance (Cap. 448), the Air Navigation (Hong Kong) Order 1995 (Cap. 448C), and the Carriage by Air Ordinance (Cap. 500), where applicable.

10. Changes and Contact

Caelmontaris may revise this Policy prospectively by publishing a new version with an updated date. Where legally required, material changes will be separately communicated or presented for consent.
